Objective / Purpose of the Role

Job Description for Logistics Assistant

Mona Relief is seeking qualified and motivated individuals to join our humanitarian team.

Responsibilities

  • Assist with all procurement tasks according to the procurement manual.
  • Prepare weekly logistics and fleet management activities.
  • Regularly update the material receipt and delivery tracking schedule.
  • Communicate with the head office regarding all items not supplied to the warehouse.
  • Follow up regularly with suppliers to ensure timely delivery of goods according to the signed contracts.
  • Ensure that the asset and inventory records in the offices are kept up to date.
  • Continuously monitor and record inventory tags according to the guidelines of the organization/donor.
  • Ensure that the warehouse is managed according to warehouse management guidelines and that records are maintained properly. Ensure that all items in the warehouse are correctly numbered and labeled, and that all deliveries and outgoing goods are properly documented.
  • Ensure that all supplied materials meet the purchase agreement requirements and are free from any defects or problems as per standard practice.
  • Participate with materials inspection committees upon or before receiving materials from suppliers, according to the receiving mechanism.
  • Participating in food distribution operations.
  • Submitting documents and records (minutes) for warehouse receipt and delivery operations in accordance with the organization’s regulations and donor requirements.
  • Ensure that logbooks are consistently filled out and maintain an up-to-date overview of each vehicle’s expenses.
  • Monitor and update the archiving and movement files and documents for project vehicles in the field.
  • Submit periodic, monthly, and final reports according to the templates provided by the organization.
  • Any other tasks assigned by the direct supervisor.
  • Other duties might require internal auditing or requested by line manager.

Qualifications and Requirements

  • Relevant academic background (Diploma, Bachelor’s, or higher).
  • Experience in humanitarian or development work (preferred).
  • Strong communication and organizational skills.
  • Ability to work in teams and under pressure.
  • Proficiency in computers and basic applications (Microsoft Office).
  • Good command of Arabic (required) and English (preferred depending on role).
  • A minimum of 3-5 years of experience in humanitarian programmes working in the related field.
  • Experience working with non-governmental organizations (NGOs/INGO).
  • Strong knowledge of Core Humanitarian Standards and humanitarian principles.
  • Ability to identify risks and implement effective mitigations within programmes.
  • Strong analytical and problem-solving skills.
  • Proficient in using Microsoft Office applications with excellent computer literacy and/or applications related to this position
  • Excellent communication, data analysis, and report writing abilities.
  • Ability to collaborate effectively within a team and interact productively with peers, supervisors, and external counterparts in a multicultural environment.
  • Keen attention to detail.
  • Willingness to travel to field locations.
  • Ensuring compliance with internal policies, donor requirements, and humanitarian standards.
  • Upholding Mona Relief’s code of conduct and PSEA zero-tolerance policy.
